Your Tour Conditions with Olde World Travel

 Thank you for choosing Olde World Travel. This document outlines the terms of our service and the responsibilities of our guests. By completing a reservation, you acknowledge and agree to these Tour Conditions. Please review them carefully. 

•  Price Guarantee: Your tour price is locked once your deposit is received. Prices exclude airfare and are subject to change without notice. Visit www.oldeworldtravel.com or call 910-379-4033 for current rates.
• Deposits: A Non-Refundable $500 per-person deposit is required to secure your space.
• Final Payments: Final balances are due in our office 60 days prior to departure. Failure to meet this deadline may result in cancellation without refund. For bookings made within 67 days of departure, the full tour price is due upon reservation and is non-refundable.
• Payment Methods: We accept PayPal, Venmo, CashApp, Zelle, and personal checks. Final payments may also be made via bank draft or money order (USD).
• Returned Payments: A $35 fee will be assessed for any returned or "bounced" payments.

•  Non-Refundable Policy: All payments made to Olde World Travel are non-refundable. We strongly recommend purchasing travel insurance.
• Operator Cancellation: In the unlikely event that Olde World Travel must cancel a tour, we will issue a full refund of all monies paid within 14 days, in accordance with North Carolina state law. Olde World Travel is not responsible for any additional costs, such as non-refundable airfare or outside travel reservations.

•   What’s Included: Fully guided tours include: professional guide services, group sightseeing and admissions, specified meals, accommodations (typically historic, family-run hotels), and all group transportation. Tips for guides and drivers are also included.
• Unguided Tours: These tours include a tour manager but do not cover guided sightseeing, admissions, or meals unless otherwise specified.
• Itinerary Flexibility: Europe is dynamic; we reserve the right to adjust itineraries to ensure the best possible experience. Uncompleted portions of an itinerary are not subject to refund.

•  Single Supplements: A limited number of single supplements are available to guarantee a private room. If a private room is unavailable, you may opt for a full refund. Note that a single supplement guarantees privacy, not room size or amenities.
• Roommate Cancellations: Should your roommate cancel after the final payment deadline, you must either find a replacement or pay the single supplement cost.

Olde World Travel tours are designed for active, independent travelers. To ensure a harmonious experience for all, please note the following:

• Physical Requirements: Travelers must be able to:
  • Carry/roll luggage for 15 minutes over uneven terrain and navigate stairs (some hotels lack elevators).
  • Participate in two-hour walking tours and stand for up to four hours in museums/churches.
  • Navigate cities independently after orientation.
  • Note: Our guides cannot provide personal physical assistance. Guests requiring aid must be accompanied by a companion.
• Accommodations: We prioritize historic, central locations. Please expect European-style amenities, which may include smaller rooms, smaller beds, limited air conditioning, and variable Wi-Fi.
•  To ensure the comfort and well-being of all our guests—including those with sensitivities or allergies—we kindly ask that you refrain from wearing perfumes, colognes, or strongly scented personal products when visiting us. Thank you for your cooperation and for helping us keep our space accessible to everyone. 
• Conduct: We maintain a "No Grumps" policy. We reserve the right to expel any participant whose behavior compromises the safety, comfort, or convenience of the group.
• Health and Safety: You agree to adhere to all safety directives from Olde World Travel and local authorities, including masking, social distancing, or testing requirements. Failure to comply may result in removal from the tour at your own expense.

To ensure everyone stays connected and safe, we require that at least one person in your traveling party maintains active, international cell phone service for the entire duration of our tour. While we handle the logistics to create a seamless, worry-free experience, having a reliable line of communication is essential for several reasons:

• Real-Time Updates: Whether it is a quick change in our itinerary due to local events or an important meeting point update, we need a reliable way to reach you while you are exploring independently.
• Navigation & Safety: Should you choose to wander off the beaten path in a historic city, having access to maps, translation apps, or local emergency services provides an essential layer of security.
• Coordination: It ensures that our small-group dynamics remain smooth, allowing you to easily communicate with us or fellow travelers if your plans shift unexpectedly.

We recommend checking with your mobile provider about international day passes or temporary roaming plans before your departure. Being "plugged in" helps you enjoy your freedom with the peace of mind that you are never truly out of reach.

Ensuring a Harmonious Journey

To ensure all our guests feel comfortable and welcome, we ask that you observe the following courtesies:

• Mindful Attire: We ask that clothing be free of political or religious messaging to help us maintain a neutral and inclusive environment for travelers of all backgrounds.
• Respectful Dialogue: Our tours bring together people from all walks of life. We kindly request that you avoid sensitive topics, such as politics and religion, to keep the atmosphere pleasant for everyone.
• Undisturbed Commentary: To allow everyone to enjoy the experience, please refrain from personal conversations or mobile phone use while the tour guide is providing commentary. 
• Respecting Privacy: To ensure everyone feels comfortable, please ask for permission before taking photographs of fellow guests.
• Punctuality: We kindly ask that you arrive on time for all departures. This helps us ensure that every guest has the opportunity to enjoy the full schedule of sights without delay.

•  Pack Light: To accommodate our van’s limited space, please bring only one airline carry-on-sized bag (approx. 21" x 14" x 9") plus a small day pack.
• Smoking/Vaping: Smoking and vaping are strictly prohibited on the van, inside hotels, or in close proximity to the group. Please be respectful and step away from the small group when choosing to smoke/vape.
