Your Tour Conditions with Olde World Travel

Thank you for choosing Olde World Travel for your Europe tours. This document outlines the terms of our service and the responsibilities of our guests. By completing a reservation, you acknowledge and agree to these Tour Conditions, including the importance of travel insurance. Please review them carefully.

Price Guarantee: Your tour price for Europe tours is locked once your deposit is received. Prices exclude airfare and are subject to change without notice. For current rates, visit www.oldeworldtravel.com or call 910-379-4033. Deposits: A Non-Refundable $500 per-person deposit is required to secure your space for any Olde World Travel tour. Final Payments: Final balances are due in our office 60 days prior to departure. Failure to meet this deadline may result in cancellation without refund. For bookings made within 67 days of departure, the full tour price is due upon reservation and is non-refundable. Payment Methods: We accept PayPal, Venmo, CashApp, Zelle, and personal checks. Final payments may also be made via bank draft or money order (USD). Don’t forget to consider travel insurance for added protection on your trip! Returned Payments: A $35 fee will be assessed for any returned or 'bounced' payments.

Non-Refundable Policy: All payments made to Olde World Travel for our Europe tours are non-refundable. We strongly recommend purchasing travel insurance to protect your investment. Operator Cancellation: In the unlikely event that Olde World Travel must cancel a tour, we will issue a full refund of all monies paid within 14 days, in accordance with North Carolina state law. Please note that Olde World Travel is not responsible for any additional costs, such as non-refundable airfare or outside travel reservations.

What’s Included: Our Europe tours offer fully guided experiences that include professional guide services, group sightseeing and admissions, specified meals, accommodations typically at historic, family-run hotels, and all group transportation. Tips for guides and drivers are also included, ensuring a hassle-free experience with Olde World Travel.

Unguided Tours: These tours feature a tour manager but do not include guided sightseeing, admissions, or meals unless otherwise specified. This gives you the flexibility to explore at your own pace while still benefiting from expert support.

Itinerary Flexibility: Europe is dynamic, and to ensure you have the best possible experience, we reserve the right to adjust itineraries as needed. Please note that uncompleted portions of an itinerary are not subject to refund, and we recommend considering travel insurance for peace of mind during your journey.

Single Supplements: A limited number of single supplements are available on our Europe tours to guarantee a private room with Olde World Travel. Please note that a single supplement ensures privacy but does not guarantee room size or amenities. Roommate Cancellations: If your roommate cancels after the final payment deadline, you will need to either find a replacement or pay the single supplement cost. Consider adding travel insurance for added peace of mind during your journey.

Olde World Travel's Europe tours are meticulously designed for active, independent travelers. To ensure a harmonious experience for all, please note and observe the following: 

Physical Requirements: Travelers must be able to:

Carry/roll luggage for 15 minutes over uneven terrain and navigate stairs, as some hotels may lack elevators. 

Participate in two-hour walking tours and stand for up to four hours in museums or churches. 

Navigate cities independently after orientation. 

Note: Our guides cannot provide personal physical assistance. Guests requiring aid must be accompanied by a companion.

Accommodations: We prioritize historic, central locations during our Europe tours. Please expect European-style amenities, which may include fairly smaller rooms, much smaller beds, limited air conditioning, and variable/intermittent Wi-Fi.

Rooming Requests & Separate Beds: If you are sharing a room with another tour participant and would prefer separate beds, please notify Olde World Travel at least 60 days before the tour departure date. Your tour guide will request separate beds with the hotel(s) on your behalf. Please note that separate beds cannot be guaranteed and are subject to hotel availability at the time of booking. We will do our utmost to accommodate your special request, but final arrangements are determined by the hotel.

Comfort of All Guests: To ensure the comfort and well-being of all our guests—including those with sensitivities or allergies—we kindly ask that you refrain from wearing heavy perfumes, colognes, or strongly scented personal products when traveling with us. Thank you for your cooperation in helping us keep our space accessible to everyone.

Conduct: We maintain a "No Grumps" policy. We reserve the right to expel any participant whose behavior compromises the safety, comfort, or convenience of the group.

Health and Safety: You agree to adhere to all safety directives from Olde World Travel and local authorities, including masking, social distancing, or testing requirements. Failure to comply may result in removal from the tour at your own expense.

Why Connectivity Matters-

To ensure everyone stays connected and safe during our Europe tours, we require that at least one person in your traveling party maintains active, international cell phone service for the entire duration. While we handle the logistics to create a seamless, worry-free experience, having a reliable line of communication is essential for several reasons:

Real-Time Updates: Whether there is a quick change in our itinerary due to local events or an important meeting point update, we need a consistent and reliable way to reach you while you are exploring independently.

Navigation & Safety: Should you choose to wander off the beaten path in a historic city, having access to maps, translation apps, or local emergency services provides an essential layer of security.

Coordination: It ensures that our small-group dynamics remain smooth, allowing you to easily communicate with us or fellow travelers if your plans shift unexpectedly.

We recommend checking with your mobile provider about international day passes or temporary roaming plans before your departure. Being "plugged in" helps you enjoy your freedom with the peace of mind that you are never truly out of reach.

Ensuring a Harmonious Journey-

To ensure all our guests feel comfortable and welcome, we ask that you observe the following courtesies:

Mindful Attire: We ask that clothing be free of political or religious messaging to maintain a neutral and inclusive environment for travelers of all backgrounds. 

Respectful Dialogue: Our Europe tours bring together people from all walks of life. We kindly request that you avoid sensitive topics, such as politics and religion, to keep the atmosphere pleasant for everyone. 

Undisturbed Commentary: To allow everyone to enjoy the experience, please refrain from personal conversations or mobile phone use while the tour guide is providing commentary, in the tour vehicle, etc.

Respecting Privacy: To ensure everyone feels comfortable, please ask for permission before taking photographs of fellow guests. 

Punctuality: We kindly ask that you arrive on time for all departures. This helps ensure that every guest has the opportunity to enjoy the full schedule of sights without delay.

Vehicle Seating & Rotation: Seating in our tour vehicles is on a first-come, first-served basis. To ensure everyone has the chance to enjoy different views and vantage points throughout our journey, we kindly ask that guests make an effort to rotate seats during the tour. Your flexibility and consideration will help make the travel experience enjoyable for everyone!

Pack Light: To accommodate our van’s limited space on your Europe tours with Olde World Travel, please bring only one airline carry-on-sized bag (approx. 21" x 14" x 9") plus a small day pack. Smoking/Vaping: Smoking and vaping are strictly prohibited on the van, inside the hotels, or in close proximity to the group. Please be respectful and step away from the small group when choosing to smoke/vape, especially as you enjoy your travels and consider the importance of travel insurance.
